I.T. Information for New Employees
 

 

Please refer to the I.T. Information Sheet you received for your new user names and passwords.

  • You will need to change your Windows password as soon as you log onto your PC/Laptop. 
     

  • Password requirements are:

    >  8 or more characters

    >  At least 1 capital, 1 lower case, 1 number, 1 special character
    >  Please do not uses spaces
    >  Try to avoid overly common words, like “dog” or “sunshine.”
     

  • Hayward uses Two-Factor Authentication (2FA) to verify user logins.  The company that provides our 2FA service is called “OKTA.”

  • After you first log in to your Windows desktop, you will need to set up your OKTA account.

  • Using Google Chrome (or other web browser) please go to hayward.okta.com and follow the instructions in the OKTA USER GUIDE to setup your Okta account and two-factor authentication.  You will use your same Windows user name and password for OKTA.
     

  • Hayward uses Microsoft Office 365 Online for all the standard office apps, like Outlook Email, Word, Excel, etc.  After OKTA has been set up, it should take you to your OKTA homepage.  You should see the “My Apps” section with links to all your Office 365 apps.  We suggest you make bookmarks for your OKTA homepage and for any Office 365 apps you will frequently use.
     

  • Hayward uses MS Office 365 Mail (also known as MS Outlook) for email.  You will see a link for MS Office 365 Mail on your OKTA homepage.  When you click the link, it should open Outlook and take you to your email Inbox.  Please bookmark this page to access your Hayward email.
     

  • “Nashville General” Network Drive.  Depending on your job requirements, you may have access to certain network drives.  Your manager will review these with you, but all employees have access to the Nashville General network drive.
     

  • Wifi.  Our internal wifi network is “Hayward.”  To connect, select the Hayward wifi and use your Windows user name / password to log in.

VOICEMAIL (MERIDIAN)

Basic Commands Overview


When you call into the voicemail system, it will walk you through everything you need to configure your voicemail. 

This is a basic overview of the most popular commands.

 

 

  • To access the voicemail system (internal):  Dial 2000 or press the Msg Center button.
     

  • To access the voicemail system (external):  Dial the Nashville Hayward main number,
    615-255-3111, then your extension, wait for greeting, then 81.

     

  • To record your name (“MYNAME is on the phone…”):  89
     

  • To record your personal greeting:  82
     

  • To change your password:  84
     

  • To play your messages: 2
     

  • To delete a message:  76
     

  • To call back the sender of a message: 9
     

  • To change your visible name on the phone screen:  Contact IT at x2625 or x2999
     

  • For Help and Advanced Options:  Press * at any time.
